  • Information you provide: when you contact us (including by email, phone, via the Website or otherwise), submit an accommodation booking request, check-in to one of our residences and/or subscribe for e-mail newsletters and update services.
  • Information from other sources: we may receive information about you from third parties  making bookings on your behalf and when we verify details you have supplied to us, (including in connection with your education, and credit history).
  • Information collected automatically using "cookies": whenever you interact with the Website (including when you browse the Website, download information from it, submit booking or other requests on line or use it to access other Internet sites) we receive and store certain types of information about your visit using "cookies".  We describe how we use "cookies" below.  The information we collect using "cookies" includes information which identifies the computer you use to access and interact with the Website, the date and time of your visit and the pages you visit.

How do we use the information we collect?

We will only use your Personal Information in connection with services we provide to you from time to time including for example to:

  • process booking requests;
  • respond to your enquiries, and update you on our services and promotional events;
  • communicate with you regarding bookings and enquiries;
  • update and maintain our records;
  • prevent or detect fraud or abuses of our Website;
  • inform relevant third parties in the course of disciplinary and/or complaints procedures, or in the event of an emergency (such as medical emergencies or where you have been the victim of a crime);

We only share your Personal Information with other entities within the Nido group and otherwise only with the third parties described below.  We ensure the parties with whom we share your Personal Information follow practices at least as protective as those described in this Privacy Policy:

  • Agents: From time to time we employ other companies to perform functions on our behalf including sending communications, analysing data, providing marketing assistance and processing payments.  They have access to the personal information needed to perform their functions, but may not use it for other purposes.
  • Educational Establishments: In the course of disciplinary and/or complaints procedures or in the event of an emergency (such as medical emergencies or where you have been the victim of a crime) it may be necessary for us to share your Personal Information with educational establishments at which you are enrolled (both in the UK and abroad). 
  • Law enforcement bodies: We may share your Personal Information with law enforcement and other regulatory or government bodies where we are under a legal or statutory obligation to do so.

How long do we keep your Personal Information?

If you make a booking request and we are unable to meet your requirements or have to decline it for another reason, we would like to keep your details on our database in case an alternative accommodation becomes available. We usually keep your details on our database for this purpose for a period of 6 months. 

By submitting a booking request you agree to us retaining your Personal Information for this purpose.  

Collection of Information by Third-Party Sites

Our Website may contain links to other websites whose information practices may be different to ours. You should check the privacy notices of those third party sites as we have no control over information that is submitted to or collected by those third party sites.

How do we protect your information?

We employ security measures to prevent unauthorized access to Personal Information we collect including encryption based software to protect financial information submitted to us on-line. 

Please note that email correspondence with us is in free format text and cannot be encrypted.  Accordingly please do not send any sensitive information such as credit card details or passwords via email.
